Types, Functions, and Benefits of A Data Catalog

Data catalogs are relatively a core component of data management tools. Thru this, automatic metadata management were enabled and molds with user-friendly interface that makes data easy to understand even for non-IT members of a business organization.

Metadata is the core of data catalog. It is the data that provides information about other data. To simplify, it is “data about data”. Many distinct types of metadata exist, including descriptive metadata, structural metadata, administrative metadata, reference metadata, statistical metadata and legal metadata.

  • Descriptive metadata is descriptive information about a resource. It is used for discovery and identification. It includes elements such as title, abstract, author, and keywords.
  • Structural metadata is metadata about containers of data and indicates how compound objects are put together, for example, how pages are ordered to form chapters. It describes the types, versions, relationships, and other characteristics of digital materials.
  • Administrative metadata is information to help manage a resource, like a resource type, permissions, and when and how it was created.
  • Reference metadata is information about the contents and quality of statistical data.
  • Statistical metadata, also called process data, may describe processes that collect, process or produce statistical data.
  • Legal metadata provides information about the creator, copyright holder, and public licensing if provided.

Every organization seeking competitive advantage uses data catalog to turn big data into actionable insights. Data transforms meaningful customer insights to improve outcomes. In today’s rapid pace, managing massive data amounts is doable with the use of such data governance tool.

A tool where everyone in a business can find the data needed for collaboration is essential. A modern data catalog includes many features and functions that all depend on the core capability of cataloging data—collecting the metadata that identifies and describes the inventory of shareable data.

It is considered impractical to attempt cataloging manually. Automated discovery of datasets, both for initial catalog build and ongoing discovery of new datasets is critical. The use of AI and machine learning for metadata collection, semantic inference, and tagging, is important to get maximum value from automation and minimize manual effort.

With robust metadata as the core of the data catalog, many other features and functions are supported. The most essential functions includes:

  • Dataset Searching—Robust search capabilities include search by facets, keywords, and business terms. Natural language search capabilities are especially valuable for non-technical users. Ranking of search results by relevance and by frequency of use are particularly useful and beneficial features.
  • Dataset Evaluation—Choosing the right datasets depends on the ability to evaluate their suitability for an analysis use case without needing to download or acquire data first. Important evaluation features include capabilities to preview a dataset, see all associated metadata, see user ratings, read user reviews and curator annotations, and view data quality information.
  • Data Access—The path from search to evaluation and then to data access should be a seamless user experience with the catalog knowing access protocols and providing access directly or interoperating with access technologies. Data access functions include access protections for security, privacy, and compliance sensitive data.

A robust data catalog provides many other capabilities including the need for data curation and collaborative data management, data usage tracking, intelligent dataset recommendations, and a variety of data governance features.

Benefits of a Data Catalog

  • Improved data efficiency

This helps the business more cost-efficient in deriving effective data-driven decisions to boost performance thru real-time data analytics.

  • Improved data context

Gaining better data understanding to put things into perspective is a great way to visualize circumstances that surrounds each metric. With this, the context turn facts into actionable information leading to a well-informed decision for a positive business impact.

  • Reduced risk of errors

The manual processing of errors is time consuming and can cause massive data confusion. Whereas with investing in data governance, an organized and improved inventory is presented with high quality and confidence.

  • Improved data analysis

Correct data and analysis is provided for deeper, more informed insights. The rich context captured of enterprise data, including relationships between data sets, analyst usage & trusted comprehension is highly accurate.

Overall, data catalog dramatically improves the productivity of analysts, increases the reliability of analytics, and drives confident data-driven decision-making while empowering everyone in your organization to find, understand, and govern data.

Steps and Traits on How to Become an Entrepreneur

Transitioning from an Employee to Entrepreneur is a challenging step to take and a hard decision to make. One must be courageous and fearless to be able to start something on their own.

However, if one wishes a  quick and easy way to become a business owner, then getting a \”Franchise\” is the best option. Franchising offers a tested and true business model with proven operational concept with higher success rate but with bigger investment. Mostly, you have  little to no creative control on how to run the business as it needs to be approved by franchiser.

On the other hand, Launching a \”Start-up\” requires a potentially big investment on yourself as you are on your own to take the risk. It requires long hours and a lot of hard work as you venture on the exciting opportunity to start from the ground up.

Start-ups are best  for those who have unique business idea. The learning Curve might be financially costly, so make sure you have enough capital to support the business during its developmental phase.

Choosing Franchise vs. Start-Ups depends on your personal goal and fearless approach to business as you sharpened your craft in Entrepreneurship like what Angela Wei Milk Agency did

Also, on the area of planning and marketing strategy one must answer the following core questions to determine whether you can have a successful entrepreneurial venture.

  • For whom do you create value?
  • Will these people pay for that value, or can you monetize the value created?
Now, the final question is, \”Am I  ready and brave enough  to take the leap?\”.

The Use of AI for Materials Inventory and Data Management

Artificial intelligence for IT operations (AIOps) is an umbrella term for the use of big data analytics, machine learning and other artificial intelligence technologies to automate the identification and resolution of common information technology issues.

The systems, services and applications in a large enterprise produce immense volumes of log and performance data. AIOps uses this data to monitor assets and gain visibility into dependencies without and outside of IT systems.

Information Technology plays a major role for a business to save more time and money, helping employees more productive and draws more business. In this case, we can clearly states that IT is not a business plan but rather, it strongly “supports” a business plan. For modern business, having a high quality data is essential for making decisions, help boost lead conversions, and drives success in inventory management.

A data driven-environment’s common data quality issues are poor organization, incorrect and poorly defined data, data inconsistency, and poor data security. Validating and cleaning bad data records equates to costly data cleansing tactics that threatens business efficiency.

When it comes to materials management optimization, obtaining an AI-enabled platform can quickly give a solution in providing inventory visibility and rebalance. It is a promising alternative compared to traditional cleansing methods.

This platform is widely used by businesses that maintain  and operate big data to achieve operational excellence. With the use of  AI platform, it is mostly possible to  ensure efficient operations. Businesses mostly in Maintenance Repair and Operations (MRO) use this platform solution  to keep an on-site inventory of the most commonly used items that can reduce downtime, extra expenditures, and the general stress of restocking. Industries mostly in Automotive, Industrial Equipment, Utilities, CGS, Aerospace, and Electronics, mainly uses this AI platform to optimize inventory management.

Wikipedia’s concise definition of inventory optimization is that “It’s a method of balancing capital investment constraints or objectives and service-level goals over a large assortment of stock-keeping units (SKUs) while taking demand and supply volatility into account.”

Artificial Intelligence is transforming the way we work, live, and collect data and it can help leverage technology in many ways to improve the MRO industry. It’s an effective way to utilize the use of  technology or devices to act smarter than humans.

Here’s the Top 5 substantial Reasons to use MRO Optimization:

1. To help avoid the risk of overpaying and under performing.
2. Effectively determines stock levels.
3. Balance demand and supply.
4. Increase service and safety levels.
5. Provides decision support system.

To be able to compete in dynamics market, relying on data stewardship is necessary to speed and scale a business. At this time, trusting manual process doesn’t makes sense if an organization aims for operational excellence and continually improve the consumer/partner experience.

With the right tools and technology, supported with the right MRO process and best practices, organizations can digitally transform. Leveraging data for more strategic, creative opportunities driving to advanced supply chains forward.

It is important to develop a full understanding of what specific MRO the company needs, to be able to efficiently foresees and monitor the inventory, suppliers, cost and services. To thrive, it is crucial to have positive mindset towards innovation and technology.

Again, with the right tools and with the right kind of help, inventory and performance efficiency can be achieved rather than relying on manual approaches that are prone to error.

4 Simple ways to Prepare for Sales Tax Audit

sales tax audit is defined as the examination of a company’s financial documents by a government\’s tax agency to verify if the proper amount of sales tax has been remitted to the proper authority.

The government assigns a frequency on sales tax filing in monthly, quarterly and annually and sets a due date for strict compliance. Sales tax compliance should be properly observed to not get in bigger trouble and costly penalties when it comes to Sales tax Audit.

Audits are inevitable but shouldn\’t stress you out. Here\’s the 4 Simple Ways on how to handle the audit when you are given out a schedule for a visit:
1. Keep all the records updated.
Bear in mind that you can be tapped for an audit at anytime so it is advisable to keep good records not only for the current year but up to the past 3 years. Also, try to recreate records to simply check again those entries for discrepancies and incorrect postings that may cause red flags.
2. Understand Audit Objectives.
Make a research and take time to understand the audit objectives and what the audit process is likely to entail. Ask around to people or your industry who have gone through the process to gather information and learn from their mistakes to avoid the stresses they endured. Do your homework to know what to expect and know how much the auditor will examine.
3. Make Good Impression.
Be professional and polite. Remember to show up with a smile to set a good vibes for the entire audit duration. Be organized as you show to easily pull-out any documents required for checking. Easy access of records shows you are not hiding anything, making them feel that there wasn\’t any reason to dig deeper. But remember not to overshare and do not give out details or records not being asked.
4. Get Defense and Support from Expert/ Professionals.

In most cases, small or medium sized business owners and  even larger corporates who face the audit themselves can  unwittingly reveal unnecessary information that might cause bigger problems. That is why retaining a professional service who will represent your business was definitely a wiser decision.
Having a professional to represent you during sales tax audit offers the following benefits:
  • They will conduct a pre-audit review of your systems and processes to identify any gaps or risk factors.
  • They  will control what information gets shared with the auditor.  “Let me get with my client and get back to you on that” is a perfectly acceptable answer.
  • They will advise you as to where to push back and where to compromise.
  • They will help determine the best audit approach – whether it’s a block or sampling approach.
It is said that having key people to represent your business during audit makes the whole process easy and brief. However, choosing to face the audit yourself is also good; in a way that you can proudly show that you truly breathe and live the business that you\’re into. You know the ins and outs and closely monitoring the business flow which also gives out a strong impression.
Anyhow, the best defense to surviving a Sales Tax Audit is to have proper preparation of files, office and staff.

Is email marketing still relevant?

Email marketing is considered an efficient tool in gaining customers. It\’s a strategy that entrepreneurs need to master and take advantage of.
With today\’s technology, Digital marketing is considered as the most cost effective way to send commercial messages to turn prospects into customers. I personally prefer targeted email campaigns as it can stimulate sales thru customized  approach based on customer\’s needs.

But with the presence of social media, you\’ve probably have heard many marketers asking the question, “Is email dead?” Well, we’re here to tell you that not only is it alive and well—it\’s also beating other forms of marketing in effectively reaching prospects.

In fact, the relevance of email shouldn’t be a question at all. Although this technology has been ubiquitous since the ‘90s, it’s still the most direct line to internet users today.

A Radicati Group study reveals that over 3.8 billion people around the globe will use email in 2018—half of the world’s entire population.

According to Lifewire, that’s 100 million more people than were using it in 2017.

By 2022, over 4.2 billion people are expected to be email users, according to projections from the same Radicati Group study.

There’s no question that modern internet surfers are actively using email. They’re reading it, sending it, and, most importantly, engaging with marketing messages from businesses.

To help prove just how relevant email is, and just how engaged email users are, we’ve gathered facts, quotes, and statistics that show exactly what\’s going on in users\’ inboxes. These eye-opening truths demonstrate that email isn’t going anywhere.

8 facts and statistics that prove email\’s relevance

Is email marketing still relevant?

Yes, without a doubt.
If you remain skeptical, check out these 8 solid truths:

1. Hundreds of billions of emails are sent each day.

Data from Statista reveals that over 269 billion emails were sent each day in 2017. Meanwhile, in 2018, the number of emails sent per day is expected to top 280 billion.
People are engaging with their email accounts, and it’s still one of the major online channels of communication. If you tap into it with your marketing skills, you can potentially reach masses of people who are ready to read your content.

2. Email is the most effective content distribution format.

Overwhelmingly, B2C marketers report that email is their most successful channel for distributing content.

According to the Content Marketing Institute’s 2018 B2C Benchmarks, Budgets, and Trends Report, 72% agree that email is tops. (Social media and blogs come in second place with 61% and 47% of marketers championing them, respectively.)

3. Is your email marketing not working? Don\’t give up just yet.

According to top marketer Jay Baer,  “There is NOTHING in digital marketing more important than email, right?

Even with social media, bots, apps, and all the rest – email is still how we communicate to most of our customers and prospects.

But the problem is, most email programs have a nagging cough and a persistent fever. Most email programs are sick in one or more ways.”

In other words, email is one of the most important ways to communicate with your base. If your email marketing isn’t working, your email program is “sick” and needs help.

Email isn’t the problem–it’s how you approach doing email marketing that matters. It\’s a combination of how you solve email marketing problems, like low open rates, low click-through rates, high unsubscribe rates, as well as execute and refine new strategies.

For instance, Jay recommends not panicking if your email data points change incrementally for the worse. Instead, wait. Let enough email sends happen so an accurate picture of your success with email can become clear before you act prematurely.

If your email program is failing or underperforming, look at it like this: If it could talk, it would say, “It’s not me–it’s you.” But don\’t worry—this is fixable and why we\’re here to help!

4. A majority of adults send or read email daily.

In the United States, the most popular online activity for adults is sending/reading email. 85% of internet users spend their time this way every single day.

So, if you want a direct line to your adult audience, email is the way to go.

5. Teenagers are still using email, too.

If you think you can’t reach younger demographics through email, think again.
Teenagers are often associated with texting, social media, and social messaging/multimedia apps like Snapchat and Instagram. However, while there are plenty of modern alternatives, teenagers are still using email.

From their study of 1,200 internet users spanning from teens to baby boomers, Adestra found that 78% of teens use email regularlyOf those teens aged 14-18, nearly 78% call it a “fact of everyday life.” Among young adults aged 19-24, about 84% feel the same way.

6. Millennials are email-obsessed.

Let’s not forget about millennials in their mid-twenties to early thirties—they’re even more obsessed with email than teens.

According to a 2017 Adobe Campaigns consumer email survey, this generation checks their email anywhere and everywhere. That includes while watching their favorite TV show, while lying in bed, during their vacation, while talking on the phone, during a meal, and even when they’re in the bathroom.

7. When your emails are targeted and relevant, tons of people will engage.

What happens when a customer receives a relevant email sent to them based on their online behaviors, also known as a triggered email? More than likely, they will open that message and engage with the content.

In an email marketing benchmarks study from 207, marketing researchers found that triggered emails had a 46.84% open rate and a click-through rate of 11.13%.

Of course, many variables impact open rates and click-through rates. However, HubSpot collected some benchmark data that helps us establish a frame of reference.

Among a pool of over 11,500 of their customers, they looked at various-sized companies who sent varying numbers of email campaigns over the course of one month. They measured the open rates and came up with median numbers representative of each type of company—those with 1-10 employees, 11-25 employees, 26-200 employees, or over 201 employees.

Overwhelmingly, median open rates across all company sizes and numbers of monthly email campaigns hovered between 25% and 35%.
That means the open rate for triggered emails (46.84%) is about 11% higher than the highest median open rate achieved by any company. (The highest rate went to companies with 1-10 employees that send out 16-30 email campaigns per month.)

In other words, when your emails are targeted and relevant to the online user, they will get opened. That means your email marketing has an amazing chance of finding its audience, which is always the end goal.

8. Consumers want to hear from you through email.

Remember that Adobe Campaigns survey we already mentioned? Let’s return to it for another compelling statistic that proves the relevance of email marketing:

61% of consumers would rather receive communications from brands through email versus any other channel. (Direct mail came in second place with just 16% who prefer it.) Plus, that 61% majority represents a 24% increase of people who prefer email over last year’s poll.

Consumers prefer email for brand communications over not only direct mail, but also social media, text messages, chatbots, and brand apps. That’s a great indicator of just how relevant email marketing still is.

Even more importantly, consumers want to receive personalized emails that are informative. They also don’t want companies to bombard their inboxes. If you stick to these guidelines, your email marketing has an incredible chance to make a positive impact on your brand.

Wrap up

Overwhelmingly, email marketing has a better chance of reaching your target audience than any other method or communication channel. Thus, the question “Is email marketing still relevant?” shouldn’t even be a question. It should be a statement.

Email marketing is still relevant.

On social media, your posts are blips on your readers’ radar, and then they’re gone forever. If you blog, there’s a good chance your reader won’t see your content unless you direct them to your new posts. Finally, paid search and paid ads can quickly get expensive, and most readers will find them annoying.

On the other hand, email marketing is what consumers prefer. Half of the entire globe uses it and a vast majority check their inboxes daily. That includes generations of people, from teenagers to millennials, to baby boomers and older adults.

To put it bluntly, email remains the only channel where your organic reach is solid. Are you willing to gamble that?

Important Components of a Consulting Agreement

As of this point, I can say that I am now fully enjoying the benefits and reaping the rewards of my entrepreneurship journey. It\’s like having a full control over my capabilities and flexibility of having my own time. I can say that my priorities as a mother blends well with how I plan to spend my day so I can fully monitor the kids while we earn from a business.

A business requires continuous learning and innovation. It is important to develop a strategic and financial plan to keep it running smooth. As for dealing with clients for a project, it is required to  always have a binding legal agreement to discuss the scope of work and detailed services.
Based from my own experience, as a freelance and a business owner; relying on a handshake or verbal agreement can cause misinterpretation of how the work needs to be done or any other additional requirement.

As we cannot always based on  a \’gut feel\’ decisions, it is best to learn on how to write a Consulting Contract for a full knowledge from both parties on agreeable terms and conditions. Remember not to put yourself and your business at risk by being clear on job details in a contract.

It is advised to Create a consulting contract first, to save yourself from annoying demands and possible problem from change of client\’s request.
Here\’s the following important  Components of every Consulting Agreement:
  1. List of involved parties
  2. Listing of services to be provided
  3. Listing of required contributions by the client
  4. Compensation and payment details
  5. Timeline details
  6. Termination details
  7. Ownership of materials
  8. Proprietary information and use of materials
  9. Terms for additional services
  10. Limitation of liability
  11. Handling of disputes
  12. Communication details
  13. \”No Guarantee\”
  14. \”Entire Agreement\”
  15. \”Severability\”
  16. \”Headings\”
  17. \”Interpretation & Enforcement\”
  18. Signatures of involved parties
Thankfully in most cases, clients discuss the full scope of work, deadline and  payment terms and make sure to clarify certain points before proceeding. But we cannot really control some possible changes of work demands that can usually happen during mid-work on a project, that is why a consulting agreement serves as a protection for both parties for any additional cost that can come up.

If needed, both parties can amend the original agreement if unavoidable demands arises. Running a small business or having a freelance gig has its own challenges compared from being a full-time employee but rest assured that we can all get the resources we need readily available online. I personally learn business concerns from online resource that is why I am committed to share important things that I learn from start-ups and big businesses as well.

The key is continuous learning and sometimes relying on templates from business structures to get the work done in a breeze. Such a good resource is a downloadable Optimal Consulting Agreement Templates that we can modify according to our own terms and specs. Also, learning the business ropes by seeking professional help can drastically lessen the burden and cost in a long run, agree?

Inspirational Out-takes from Women Entrepreneurs

Have you watched the TV series  #GirlBoss from Netflix?
The show is based on Sophia Amoruso\’s autobiography which tells the story of how she started the company \’Nasty Gal\’ while working as a campus safety host for San Francisco\’s Academy of Art University.
The story began when a 23-year old Sophia is fired from her job at a San Francisco shoe store and behind on her rent. When browsing a consignment store, she bought a 1970\’s vintage motorcycle jacket for 9$ and sells it on eBay for $600! That gave her the idea to start her own vintage clothing business on ebay.
I was amused on how the business idea unfolds. She is young, rebellious and broke but having the attitude and mindset of getting what she want plus being the natural fashion savvy, takes her all the way to the top!
Here\’s my fave from her infinite wisdom to take:
  1. “A #GIRLBOSS is someone who’s in charge of her own life.

Another success story is that of  Chrissy Weems\’. It is all about having those small ideas and the potential to grow them big.

She is  the President and Co-founder of Origami Owl, she was able to grow her business from local to nationwide. Origami Owl is a leading custom jewelry company known for telling stories through signature Living Lockets, personalized Charms, Bracelets and Earrings.

The story of Origami Owl started when Chrissy Weems wanted to teach her 14-year-old daughter a life lesson. She wanted to buy a car and normal teenage jobs weren’t bringing her the money fast enough. Chrissy and her daughter came up with the idea of Origami Owl from YouTube and during their first try, they were able to sell more than $1000 worth of product.

When asked what business book has inspired her the most, she answered: \”A book called \’In the Company of Women\’  by Grace Bonney. I read this book before I launched my business. I wanted to learn from other women who started their own business or those who run companies. The book gave a lot of golden nuggets of business lessons that I still carry to this day.\”

The book is a collection  of empowering advice and inspiration from over 100 Makers, Artists, and Entrepreneurs. It consists of Inspirational stories from women entrepreneurs that  inspire, uplift, and motivates every woman\’s Entrepreneurial spirit.

Here\’s some of  Motivational Quotes to ponder:

“You have to be resourceful, work hard, be kind and constantly innovate. You never know who a stranger actually is and what they may mean to your business later  on, so you have to treat everyone you come across with respect and never burn bridges. You also need to be true to yourself when designing and editing and explore your own story as a source of inspiration, as that is what will give your work more integrity and make you stand out from the crowd.”
~Tanya Aguiñiga, Furniture Designer / Maker
“People Often go into business because they love something: baking pies, building furniture, designing clothes. The reality of being a business owner is that your occupation is not Pie Maker, Furniture Builder or Clothing Designer. Your occupation is Entrepreneur . If you don’t love business, you will not love your job. ”
~Mary Going, Fashion Designer
Also from Mary “Hire slow, fire fast.” (attributed to her mentor Michael Bush)
“The biggest lesson I’ve learned is to prepare for the long haul,  the rise and fall, and let neither define your sense of self.” ~Karen Young
“Grow Organically. Don’t get ahead of yourself.” ~Eileen Fisher
Tina Roth Eisenberg‘s favorite quote: “The best way to complain is to make things” ~James Murphy

Overall, this simply shows how important it is to have role models who reminded us of at least one part of ourselves and get truly inspired to get things happen. These Inspirational stories will surely fuel the drive to succeed and learn from every mistakes and challenges along the way.
